Personal Secretary

Key Responsibilities:

Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.

Prepare and organize necessary documentation for meetings, presentations, and reports.

Handle correspondence on behalf of the executive, including drafting, reviewing, and responding to emails and letters.

Plan and coordinate internal and external meetings, including preparing agendas and ensuring meeting logistics.

Attend meetings, take minutes, and follow up on action items as needed.

Screen and prioritize incoming requests for the executive’s time.

Arrange domestic and international travel, including flights, accommodations, and itineraries.

Prepare expense reports and handle reimbursement claims.

Maintain strict confidentiality and ensure sensitive information is protected.

Organize and maintain files, records, and documentation in an efficient manner.

Serve as a point of contact between the executive and other stakeholders, both internal and external.

Handle phone calls, messages, and inquiries, directing them to the appropriate person or department.

Ensure the smooth running of the executive’s office, including managing office supplies and equipment.

Assist with personal tasks for the executive when necessary.


Qualifications:

Bachelor’s degree in Business Administration, Office Management, or a related field.

1-2 years of experience as a Personal Secretary, Executive Assistant, or in a similar role, preferably in a corporate environment.

Excellent organisational and multitasking abilities.

Strong written and verbal communication skills.

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other office software.

Ability to handle sensitive information with discretion and professionalism.

Strong attention to detail and accuracy.

High level of professionalism and discretion.

Strong problem-solving and time-management skills.

Ability to work independently as well as part of a team.

Flexibility to handle a variety of tasks and adapt to the executive’s changing priorities.
